Ezytrac Agents Terms of Business
These terms are applicable to third party independent agents 'Agents' who assist Ezytrac is the letting and sales of property.
- Agent shall advise as to the likely rental income, and update this at any stage it is felt a change is needed.
- Agent shall inspect the property and if applicable take marketing photographs.
- Agent shall advertise and generally market the property on relevant portals, websites and wherever it is deemed necessary to find a suitable tenant. Agent shall market the property as though it were one of their own and use similar marketing materials to their own.
- Agent shall handle initial enquiries from potential tenants, book and conduct viewings. Agent shall provide feedback with 4 working hours (preferably sooner) of any viewing.
- Agent will carry out the relevant Right to Rent checks in accordance with latest Home Office guidelines. The Agent will ensure all original documents are copied and these copies are certified as correct and true likenesses of each applicant. Certified copies are to be forwarded to Ezytrac within 2 working days of application being accepted.
- Agent is to give brief appraisal of applicant’s and their likely suitability as prospective tenants and confirm that, had it been one of their properties they would let the property to them”
- Agent is to include a suitable phrase in their marketing material that they are marketing the property on behalf of Ezytrac Property Management Ltd who are the managing agents for the property owner
- Agent shall complete a Weekly Marketing Update by midday each Monday.
- It is expected that parties will complete an update phone call every Thursday in preparation of changes for the weekend.
- To provide detailed market knowledge of the area, assisting our Property Manager so they can pass onto the Landlord.
- The Agent will pass on the Make An Offer on A Property page to each applicant who wishes to make an offer.
- Agent shall have an up-to-date Covid-19 management policy and follow it when conducting interaction is with prospective tenants.
- Agent shall adhere to relevant guidelines & legislation for workplace health and safety.
- Agents shall have have an up-to-date policy and follow it for dealing with vulnerable applicants.
- Ezytrac will pay the Agent 30 days from receipt of a valid tax invoice.
- Either party may cancel at anytime giving no notice.
- All figures are quoted inclusive of VAT.
- Agent will indemnify Ezytrac from all claims where the Agent has provided a potential tenant or tenant with incorrect information.
